How we handle your information

Last updated October 13, 2026 · Version 2026-10-13

In short: we collect the details you type into our forms only to complete your demo request, pilot application, or document request. We never sell your information, and we do not share it with anyone for their own use. With your permission, we also use Google Analytics to understand how this website is used and improve it. You can decline analytics and still use the site.

1. Who we are

Dunware Solutions makes Campus, a school management system, and Dunware Field Management, a business operations platform. This policy covers this website. Our contact for privacy matters is Damien Duncombe, info@dunwaresolutions.com.

2. What we collect

When you contact us, we collect the details you give us in our forms:

  • Demo request: your name, email, organization, the product you are interested in, and an optional message.
  • Pilot application: the same details, plus the number of staff or technicians and what you use today.
  • Document request: your email address and which papers you want.

If you accept analytics, Google Analytics also collects information about how you use this website, such as pages viewed, referral sources, browser and device information, approximate location, and interactions. Analytics cookies help distinguish visits. We do not intentionally send your form answers, name, or email address to Google Analytics.

We also keep a one-way scrambled version of your connection address, from which we cannot read the address itself. We use it only to limit spam and repeated submissions. Our hosting provider also keeps standard server logs, such as your IP address and the pages requested, for security and operation.

3. Why we collect it

We use the details you submit to complete the request you made: to reply, arrange a demo, assess whether the pilot fits, or send the documents you asked for. We do not use your details for marketing lists, advertising, or unrelated emails. If we ever wish to do so, we will ask for your separate consent first. Separately, if you accept analytics, we use website usage information to understand which pages are useful and improve the site. We do not use it for personalized advertising.

4. Your consent

Every form has an unticked checkbox that you must tick before you can submit. We save a record that you consented, with the date and the version of this policy. Form consent is separate from optional analytics consent: accepting analytics is not required to submit a form. You can withdraw your consent at any time by emailing us, and we will delete your details, unless the law requires us to keep something.

5. We never sell your information

We do not sell, rent, or trade your personal information. We use the following services to run the website, respond to requests, hold demos, and, with your consent, measure website use:

  • IONOS, which hosts this website and our email, and therefore stores and transmits the messages we receive.
  • Jitsi Meet, which we use to hold video demos.
  • Google Analytics, provided by Google, which processes website usage information when you accept analytics. Learn more about how Google uses information from sites that use its services.

We may disclose information if the law requires it.

6. Where your information is stored

Your submission is saved on our hosting account and emailed to our business mailbox, both provided by IONOS. IONOS email server locations may change according to the provider's operational standards. Your information may be stored or processed across borders and may be subject to the laws of the countries where it is processed. If you accept analytics, Google may also process analytics information on servers outside your country.

7. How long we keep it

We keep demo requests, pilot applications, and document requests for 12 months after our last contact with you, then delete them. If you become a customer or pilot participant, we keep what we need to provide the service under our agreement with you. Information stored inside Campus or Dunware Field Management on your own equipment is yours and is not collected by us. Google Analytics user- and event-level data follows the retention settings configured separately in our Analytics account; aggregated reports may be retained for longer. Analytics cookies are configured to last up to 180 days and may be renewed while your consent remains valid. We ask you to renew your analytics choice after 180 days.

8. How we protect it

This site uses HTTPS. Submissions are stored in a private location that is not publicly accessible, and only our founder has access. We limit what we collect, and we delete it when it is no longer needed. No system is perfectly secure. If a breach creates a real risk of significant harm to you, we will notify you and the authorities as the law requires.

9. Your rights

You may ask us at any time to show you what we hold about you, correct it, delete it, or stop using it. Email info@dunwaresolutions.com and we will respond within 30 days. If you are unhappy with our response, you may contact the Office of the Privacy Commissioner of Canada, or the data protection authority in your own country.

10. Cookies and similar technologies

We store your cookie choice in your browser for up to 180 days. Before you accept analytics, or if you choose Essential only, our Google Analytics tag does not load. If you choose Accept analytics, we load Google Analytics and allow its analytics cookies. Advertising features are disabled in our tag configuration. You can change your choice at any time using Cookie settings in the footer. Choosing Essential only stops further analytics collection for this property and removes accessible Google Analytics cookies for this site. Withdrawing consent does not automatically erase information already collected; contact info@dunwaresolutions.com about a deletion request. Clearing browser storage or using another browser may cause the banner to appear again.

11. Children

Our website and products are for organizations and are not directed at children. We do not knowingly collect information from children.

12. Changes

We will post any changes here and update the date above. If a change affects how we use information you have already given us, we will ask for your consent again.
